Work Performed:
Customer Service:
- Ensure that all members and guests receive courteous, prompt, and professional attention to their needs; utilize feedback to improve departmental operations and member satisfaction
- Possess the Club’s three core values: be Powered ON or energized at all times; display a Service First attitude (excellent customer service skills); and able to create FOMO (the fear of missing out) in daily interactions with Club members, guests, and staff
- Display evidence of the following key characteristics required for optimal delivery of customer service to members, guests, and staff: (1) enthusiasm, (2) teamwork, (3) initiative, (4) adaptability, (5) empathy, and (6) accountability
- Go above and beyond to demonstrate awareness and understanding of Hollyburn’s aim to deliver exceptional service to its members
- Communicate and encourage staff to consistently meet and exceed the Club’s service goals
- Ensure that all staff are fully trained and receive performance reviews as required
- Anticipate, react and introduce new programs to meet service needs
- Develop and maintain strong caring relationships with members, guests, staff and management
Finance:
- Responsible for the financial performance of Catering services, including operating and capital budgets
- Responsible for assisting with the development and implementation of marketing and growth strategies to ensure the fiscal health and success of Catering services at the Club
- Complete annual Catering budgets; develop short and long-term financial goals; understand, respond to and meet departmental budget requirements
- Manage sales and operating expenses, and review financial reports
- Monitor industry trends and create new revenue streams for the Catering services through sales and marketing
- Maintain accurate and up to date catering sales forecasting
Operational:
- Assist with planning external and internal marketing and sales promotion activities for Catering services
- Maintain records of Catering services covers and daily business volumes
- Help members and clients arrange banquets, luncheons, meetings, weddings, dances and other social events; obtain pertinent information for guest planning; approve all entertainment
- Work with the Executive Chef to determine selling prices, menus and other details of catered events; oversee the development of contracts
- Create banquet event orders and give to the kitchen in a timely manager as well as advise kitchen of changes to current contracts.
- Suggest and help members and clients plan menus with the Executive Chef and other culinary personnel
- Communicate the necessary information to and coordinate event planning with internal customers (staff members)
- Arrange for printing of menus, decorations, entertainment and other special requests, if required
- Ensure that event billings are accurate and sent to the Client or Department in a timely manner.
- Ensure all billings are posted to the appropriate accounts by month end.
- Maintain current and accurate files for all events
- Coordinate the set up and delivery of Catering & Banquet services
- Track new products and trends in Catering services applicable to the Club
- Perform special projects as assigned
Marketing and Promotion:
- Promote, advertise and market the Club’s social event facilities and capabilities to all members and potential members
- Provide guest tours and offer suggestions in efforts to sell the Club’s facilities for the occasion being planned
- Maintain past and potential client files; schedule calls/visits to assess ongoing needs of prospective clients for Catering & Banquet services
- Implement an ongoing sales campaign to alert members to the Club’s Catering & Banquet services capabilities
- Continually explore and contact potential new sales sources as the Club’s by-laws allow
Services & Events:
- Greet guests and oversee actual service on a routine, as required basis
- Assist with marketing and communication of events and services; tools include quarterly and annual reports, the VIEW, newsletters and the Club’s web site
- Act as the liaison with the Athletic department to develop growth strategies to increase member and guest participation
- Create, implement, and deliver memorable member service experiences
- Create, implement and create a branded experience for Catering and Banquet services at the Club
- Responsible for the operation, service and function as associated with reservations, sales and event bookings in the Catering department
- Ensuring Club Calendar is kept up to date with Catering events
Qualifications:
- Relevant degree or diploma in Hotel and Food Administration or a related field, and/or a combination of education and experience
- 5 years of experience in a Catering & Banquet services position in the private club or hospitality industry
- “Food Safe” certificate preferred
- “Serving it Right” certificate
- Financial management and planning skills
- Proficient in windows-based computer programs
- Ability to prioritize efforts to achieve objectives
